Group Fare Policy
1. Introduction
These Group Fare Terms and Conditions (“Group Terms”) govern all Group Bookings made with FLY748 (the “Airline”) and are made up of: (i) these Group Terms; (ii) the Group Passenger Manifest (“Manifest”); and (iii) the Airline’s General Terms and Conditions of Carriage (“General Terms”).
If there is any inconsistency between these Group Terms and the General Terms, these Group Terms prevail with respect to Group Bookings, except where the General Terms provide the passenger with a greater statutory or regulatory protection (for example, rights arising under applicable denied-boarding, cancellation, or schedule-change regulations), in which case the more protective provision applies.
Group fares apply to groups of ten (10) or more passengers traveling together on the same flight(s) and can only be arranged through the Airline’s dedicated Group Bookings Team.
2. Definitions
Group: Ten (10) or more passengers traveling together on the same flight(s).
Group Booker: An individual aged 18 years or above, or a legal entity, making and managing the Group Booking on behalf of all Group Passengers.
Group Booking: A booking for a Group arranged through the Group Bookings Team.
Group Booking Fee: A non-refundable administrative fee charged per passenger, per flight, as set out in the applicable quote.
Group Passenger: Any passenger traveling within a Group Booking.
Manifest: The document listing all Group Passenger details as required by the Airline.
Force Majeure Event: An event beyond a party’s reasonable control, including but not limited to natural disaster, extreme weather, war, terrorism, civil unrest, government action, strikes not involving the Airline’s own staff, airport or airspace closure, and epidemic or pandemic-related restrictions.
3. Role of the Group Booker
The Group Booker acts as the single point of contact for the Group, accepts these Group Terms on behalf of all Group Passengers, and is responsible for all communications with the Airline and for lawfully disclosing passenger data for the purposes of the booking. The Group Booker confirms he/she/it has obtained each Group Passenger’s consent to share their personal data with the Airline for booking, check-in, and safety purposes, consistent with the Airline’s Privacy Policy. The Group Booker indemnifies the Airline against all and any claims made by a Group Passenger (s) in relation to the use of their personal data and information.
4. Group Fare Eligibility
Group fares apply to bookings of Ten (10) or more passengers traveling together, are capacity controlled, and are subject to availability at the time of booking. There is no fixed upper limit on group size; groups larger than 30 passengers may be split across multiple aircraft or flights at the Airline’s discretion, and the Airline will notify the Group Booker before confirming any such split.
5. Group Booking Quotes
Quotes do not reserve seats. Fares and availability are subject to change at any time until the booking is confirmed and the required payment is received.
6. Payment Terms
A deposit of fifty percent (50%) of the total fare is required at the time of booking. The remaining balance must be paid no later than seven (7) days after booking, or by the balance due date stated on the quote, whichever is earlier.
If the balance is not received by the due date, the Airline will provide written notice and a further three (3) business days to cure the missed payment before the booking is cancelled. If the booking is cancelled for non-payment after this cure period, the Group Booking Fee and deposit are forfeited in accordance with Section 10.
7. Making a Group Booking
All Group Bookings must be made through the Group Bookings Team. Seat adjacency is requested on a reasonable-efforts basis but is not guaranteed.
8. Changes in Group Size (Attrition)
The Group Booker may reduce the number of passengers named on the Manifest, subject to the following:
• Reductions notified more than 14 days before departure: the released seats are credited at 50% of the per-passenger fare paid, less any applicable Group Booking Fee.
• Reductions notified 14 days to departure: released seats are non-refundable, consistent with Section 10.
• If the confirmed passenger count falls below ten (10) at any point, the Airline may re-rate the remaining passengers to the applicable published individual fare, with the difference payable by the Group Booker, or may permit the booking to continue at the group fare at the Airline’s discretion.
9. Manifest and Name Changes
The Manifest must be submitted at least five (5) days before departure. If the Manifest is not received by this deadline, the Airline may treat the affected seats as unconfirmed and release them for resale without liability, and any amounts paid for those seats are treated as a cancellation under Section 10.
Name changes are free of charge up to seven (7) days before departure. Name changes requested within 7 days of departure are subject to the Airline’s standard name-change fee, as published by the Group Bookings Team, and are subject to availability.
10. Cancellations and Refunds
Except as set out in Sections 8, 11, and 12, Group Bookings cancelled by the Group Booker are non-refundable, including deposits, partial payments, full payments, and fees. Instead, the Airline will issue a credit for the funds paid, which may be used toward other bookings within twelve (12) months of the original booking date, subject to the Airline’s prevailing fare rules at the time of use. The Airline recommends that Group Bookers consider group travel insurance to cover cancellation risk.
This Section 10 does not limit any refund, rebooking, or compensation rights that apply by law where the Airline cancels a flight, , or makes a significant schedule change; those situations are governed by Section 11 and the General Terms.
11. Schedule Changes and Flight Cancellations by the Airline
If the Airline cancels a Group Booking’s flight, or makes a significant schedule change (as defined in the General Terms), the Group Booker will be offered, at no additional cost: (i) rebooking on the Airline’s next available flight(s) with equivalent group capacity; or (ii) a full refund of all amounts paid for the affected passengers.
12. Force Majeure
Neither party is liable for any failure or delay in performing its obligations under these Group Terms to the extent caused by a Force Majeure Event. Where a Force Majeure Event prevents the Group from traveling, the Airline will offer rebooking to a later date, subject to availability, and will apply Section 11 where the Airline itself cancels or significantly reschedules the flight.
13. Check-in and Boarding Passes
All Group Passengers must check in at the airport counters. Boarding passes are issued at the check-in counters only. The Group Booker is responsible for ensuring all Group Passengers arrive with sufficient time for group check-in, as advised by the Group Bookings Team.
14. Minors, Infants, and Special Assistance
Group Passengers under 18 years of age must be accompanied by an adult in accordance with the General Terms. Infant fares, unaccompanied minor services, and requests for special assistance (including mobility, medical, or dietary needs) must be declared on the Manifest at the time of submission, as these may affect capacity, seating, and fare calculation.
15. Liability
The Airline’s liability in connection with a Group Booking is governed by the General Terms and by the international conventions and regulations applicable to the itinerary (including, where applicable, the Montreal Convention). Nothing in these Group Terms excludes or limits liability that cannot lawfully be excluded or limited.
16. Data Protection
Passenger data collected via the Manifest is used solely for booking, check-in, safety, and regulatory purposes and is handled in accordance with the Airline’s Data Privacy Policy and applicable laws The Group Booker must inform each Group Passenger of this use before submitting their data.
17. Governing Law and Disputes
These Group Terms are governed by the laws stated in the General Terms. Any dispute arising out of a Group Booking will first be addressed through the Airline’s customer relations process before either party pursues formal proceedings.
18. General
The Group Booker named at the time of booking cannot be changed after confirmation, other than by the Airline’s written consent. These Group Terms do not apply to individual bookings. If any provision of these Group Terms is found unenforceable, the remaining provisions continue in full force. These terms should be read together with the Airlines Terms and Conditions.
